Full Technical Registration includes technical session access (Mon – Thurs), show floor access (Sun -Wed), luncheons (if tickets requested), refreshment breaks, evening receptions and online proceedings.

Two Day Technical includes two days of technical session access, two days of show floor access, luncheons (if tickets requested), refreshment breaks, evening receptions, and online proceedings. You may register for Mon/Tues, Tues/Wed, or Wed/Thurs.

One Day Technical includes one day of technical session access, one day of show floor access, luncheon (if ticket requested), refreshment breaks, evening receptions, and online proceedings.

Full Exhibit Hall includes show floor access Sun – Wed, lunch only on Wednesday (show floor), refreshment breaks, and evening receptions (show floor).

One Day Exhibit Hall includes one day of show floor access, refreshment breaks, evening receptions (Show Floor), Wednesday luncheon (if ticket requested – only for One Day – Wed registration).

STEM Educator includes STEM panel sessions (on the day they occur), Evening Mixer (on the day of the STEM panel sessions) and Show Floor access on the day of the STEM panel sessions.

Guest Registration includes access to the evening receptions on Sunday, Monday, Tuesday, Wednesday & Thursday, guest breakfast Monday – Thursday. (You may purchase lunch add-ons for guests.)

Co-Workers and industry associates do not qualify as a guest and must register separately in a category other than “Guest” to attend the conference.

Lunch Add-On is available for per day and per ticket for Monday, Tuesday, Wednesday, and Thursday.

Evening Reception Add-On is available for per day and per ticket for Sunday, Monday, Tuesday, Wednesday, and Thursday.

Advance registration and additional fees are still required for some Pre-Conference events and workshops. Please note that the show floor will be closed on Thursday, March 14.

*Individuals who register for One-Day or Two-Day Technical attendee of the Conference will receive the above meals/events provided on the day for which they have registered (Monday, Tuesday, Wednesday, or Thursday).

To receive the PAC/IPAC rate, one must be a WM PAC Member or IPAC member. PAC/IPAC Member list can be found the www.wmsym.org web page under Resources/Forms. 

To receive the Young Professionals rate:

  • One must not be a student at the end of the Conference (March 14, 2024) Conference.
  • One must be under 35 years of age by the end of the Conference (March 14, 2024)

To receive the Student rate:

  • One must be currently enrolled as a full-time student in a post-secondary educational program.
  • One must be under 35 years of age.
  • Student credentials are required.

To receive the STEM Educator rate:

  • One must be a K-12 faculty or staff member specializing in STEM education or employed by a nonprofit organized for education and with focused STEM curriculum.
  • Credentials may be requested.

Please note that the STEM Educator rate only includes access to STEM panel sessions, the Evening Mixer on the day of the STEM panel sessions and Exhibit Hall access on the day of the STEM panel sessions.

Yes, by the stated deadlines if wanting to attend. There are pre-conference workshops that require pre-registration, as well as optional activities as listed on the registration site. These may require an additional payment beyond the conference registration fee.

We will try to accommodate all reasonable accommodations. To assist with menu planning, you will be able to indicate dietary restrictions and allergies during the registration process. Please note: every effort is made to ensure conference meals accommodate a wide range of dietary preferences; however, due to vendor limitations, not all dietary restrictions can be accommodated.

WM Symposia has secured a discounted group rate for 2024 Conference attendees at multiple hotels near the Phoenix Convention Center. The links to secure your hotel will become available on September 26, 2023 when WM2024 registration opens. The hotel links will be sent to you once you complete your WM2024 registration. Note: The discounted group blocks have historically sold out so make your reservations early.

Yes, you may purchase a Guest pass during your registration.

Guest registration includes:

  • Access to the evening receptions Sunday, Monday, Tuesday, Wednesday & Thursday
  • Guest breakfast Monday – Thursday

All sessions associated with the Conference are for registered attendees only. You may purchase lunch add-ons tickets for your guest.

Co-Workers and industry associates do not qualify as a Guest and must register separately to attend the conference.

Business casual attire is preferred. Be sure to wear layers as the meeting spaces may run hot or cool compared to your comfort level.

Yes, on-site registration is available during posted registration hours beginning Saturday, March 9th at the Main WM Registration Desk at the PCC.

Registration will open September 26, 2023.

Update your contact and additional information, then click “Update & Continue” to proceed with your registration. Each registrant is identified by their email address; if you have already registered or someone has registered on your behalf using your email address, you will not be able to use that email address to register. Please contact the Registration Manager for further assistance: mpratt@wmsym.org.

A registration confirmation email is sent automatically once you have completed your online registration. This email will serve as your official receipt and is sent to the email address you used to register (as well as the email in the “CC email” field, if entered).

If you have not received your registration confirmation email, please follow these steps:

  1. Wait 60 minutes after registering. Occasionally registration confirmations are slightly delayed if the system is particularly busy.
  2. Check your spam folder. The subject of the email will be “WM2024 Registration Confirmation.”
  3. Email mpratt@wmsym.org and request that your registration confirmation be resent.

If you would like to edit your order after you submitted your registration, please email mpratt@wmsym.org for assistance.

To create a group registration, please click on the Group Registration button on the WM2024 Rates & Information page. Please contact mpratt@wmsym.org if you are having trouble adding members to your group.

Visit the registration site and go through the registration pages. You will be directed to the payment page where you can select “credit card” and enter your payment details. Please note that if a box does not appear to enter your credit card details, disable your pop-up blocker, and click the credit card button again.

Yes, you can make updates to your abstract until they are accepted. At the September PDM, the abstracts are reviewed by the volunteers for disposition. The abstract used for the PDM is only for review and acceptance, and the abstract for the paper may be longer and formatted differently as provided in the paper preparation instructions..

We will notify the primary contact of the submission of acceptance in early October.

No, each author must complete the copyright.   Every author listed on your paper must be added to your initial abstract submission. There is an author button on your submission along with instructions on how to add an author from our database or how to create a new profile.  When you add an author, an email will be sent to them informing them that their name has been added.

Yes. All presenters, panelists and Session Co-chairs must have a paid technical registration. All listed presenters, panelists and authors will receive an email when registration opens this fall.

Yes. All presenters, including co-­­presenters if they are attending the conference, must be registered as technical attendees.

Yes, you are able to substitute the presenter on your initial abstract submission until the month before the conference. After this date, please email lparenti@wmsym.org with the updated presenter information. Dependent on timing, the substitute may be listed on the conference  errata and not the printed program.

No, only the presenter(s) are required to attend.  Each presenter attending must have a paid technical registration.

You can add and/or edit  the authors on your initial abstract submission until  your final paper is submitted.  

We do not require you use our WM PowerPoint template; however one is available on the Resources and Forms page of our website.


No more than 20 minutes, there will then be 5 minutes for presenter introductions and q/a. 25 minutes are printed in the program between presenters.

Each presentation room will have a laptop, projector, screen, pointer, and podium microphone.

Flash drives will only be accepted in the Presenter and Co-chair information room as back-up. You WILL NOT be able to put the drive into the session laptops due to virus protection requirements.  Your presentation must be uploaded into the submission portal prior to the conference.

Presenters are responsible for printing and hanging their poster.  Timing for when your poster can be hung will be listed in your acceptance correspondence and in the final printed program.

No, all presenters must attend the conference and present live.

No. Presenters are required to book and pay for their own travel and accommodations.

Yes, however you may send a substitute if you notify and confirm with WMS staff and the Lead Session Organizer of your proxy ahead of the breakfast meeting.

Setup:
Friday, March 8: 1:00 p.m. – 5:00 p.m. (20×20 and larger booths ONLY)
Saturday, March 9: 8:00 a.m.– 3:00 p.m.
Sunday, March 10: 8:00 a.m. – 2:00 p.m.
Hand-carry only set up permitted during this period.

Teardown:
Wednesday, March 13: 5:30 – 9:00 p.m.
Thursday, March 14: 8:00 a.m. – 12:00 p.m.
Early teardown will not be permitted.

Exhibit Hours:
Sunday, March 10: 5:00 – 8:00 p.m.
Monday, March 11: 9:30 a.m.– 6:30 p.m.
Tuesday, March 12: 9:30 a.m.– 6:30 p.m.
Wednesday, March 13: 9:30 a.m.– 5:00 p.m.

We have many different size booths, Starting at 10×10 and up from there.   The Booth includes an 8-foot-high back wall with 3-foot high side rails, (1) 500-watt power hookup, (1) exhibitor identification sign, (1) waste basket, one-time vacuum prior to show opening and daily trash service. Booths which are 10×20 or larger will include (2) 500-watt power hookups.

Booth furniture and carpet are not included and must be ordered separately by the Exhibitor. WMS will send an Exhibitor Service Kit containing this information to all registered Exhibitors in November.

Attendee registration(s) are included, based on booth size. Included registrations must be assigned to attendees via the Exhibitor Portal by 12/29/23.

Shepard Exposition Services has been selected as the Show Decorator and will be sending an Exhibit Service Manual with this information to all confirmed exhibitors in November. 

Sponsorship and advertising opportunities will be available on our website in September.

Booth reservations are open to returning exhibitors from June 19 through July 29, offering a discounted rate and first access to retain or adjust booth selection for 2024.

What are the deadlines? 

IMPORTANT DEADLINES FOR YOUR CALENDAR:

June 30: Returning exhibitor responses due

July 5: Invoices sent for returning exhibitor booths.

July 28: Returning exhibitors 50% booth deposit due to secure the discount.

August 1: Open Booth floor plan sent to returning exhibitors who would like to make a change, If deposit paid.

August 14: Top 5 location choices due for returning exhibitors wishing to make a change.

August 31: Returning exhibitors who requested a location change will receive new booth locations.

By registering for the WM Symposia Annual Conference, you are agreeing to the following policies:

WM Code of Conduct Policy

All WMS Conference Attendees are required to adhere to the attached Code of Conduct policy.

Payment Methods & Policies

Visa, MasterCard, and American Express are accepted. Once paid and a credit card is charged, the payment method CANNOT be changed. Please make sure before you submit your credit card, that you are authorized to purchase the conference registration as WM cannot refund and charge to another card.

All payments must be made in US Dollars.

Please make checks payable to: WM Symposia and mail to PO Box 27646, Tempe, AZ 85285-7646.

Registration fee must be paid in full before the rate deadline published online, otherwise your registration fee will be updated to the next price tier. Should your registration not be paid in time, WMS reserves the right to cancel your registration and hotel request. Purchase orders or Training Requisition forms DO NOT constitute payment.

WM CANNOT accept, or process credit cards sent via phone, email, fax or postal mail.

WM Non-Discrimination Policy

Compliance with the laws and regulations that are applicable to the annual WM Symposia and other programs that it conducts shall be a foremost objective of WM Symposia, Inc. (WM), including requirements of law regarding equal opportunity and non-discrimination based on age, color, disability, national origin, race, religion, gender, pregnancy, genetic information, retaliation, or any other characteristic protected by law. In selecting officers and directors and pursuing its mission, WM will adhere fully to this policy. WM will advise all directors, officers, employees WM contractors, and program developers of their obligation to comply with this nondiscrimination policy. In organizing and presenting the annual WM Symposium and other events, WM will advise registrants and other participants of its non-discrimination policy and seek to promote an environment free of any such discrimination. 

Attendance Policy

WM prohibits anyone under the age of 18 unless they have prior WM written consent. Even with written consent, individuals under 18 must always be accompanied by a registered conference adult chaperone.

Photograph and Video Policy

By registering, you agree to the WM Symposia photograph and video policy. Under this policy, no person may photograph or video any portion of the technical program (i.e technical sessions to include oral paper presentations, panel sessions and roundtable sessions) without the written consent of WM Symposia, as well as each presenter that you are photograph or filming.

In addition, you agree that you may be photographed or filmed while attending WM Symposia and that these images may be used by WM Symposia or someone that has received WM Symposia consent.

Badge/ID Requirement Policy

Badges are required to be worn at all times to gain access to the Exhibit Hall, the Technical Sessions and all WM Conference events.

One form of identification with photo is required for badge pickup at check in.  Badges must be picked up by the badge owner, no exceptions.  Individuals may not pick badges of others. 

Payment of a $50 administrative fee enables you to transfer your registration to a colleague from your company simply by emailing mpratt@wmsym.org with the completed substitution form and her confirming your substitution. Substitutions will be transferred at the same rate as the original registration.

Substitutions can be made up until the pre-registration deadline, or at the onsite Registration Desk.

Cancellation request forms must be submitted by emailing mpratt@wmsym.org. Cancellations received before or on December 29, 2023, will be refunded partially at 60%. Substitutions are processed as noted above. No refunds will be given for cancellations received after December 29, 2023; nor will they be given to no-shows from the conference.

Cancellations of optional individual conference items received by December 29, 2023, will receive a 60% refund of those items. Cancellation request forms must be submitted by emailing mpratt@wmsym.org. We are unable to offer refunds after December 29, 2023.
